Switching Airbnb Managers in Melbourne? Start With Your Existing Bookings

You want fewer calls, clearer answers and a property that feels properly looked after. Yet changing Airbnb managers can feel harder than staying with a service you have outgrown, especially when guests have already booked.

For a Melbourne owner, the useful starting point is a handover plan tied to those reservations. Before choosing a changeover date, establish who controls the listing, who will look after each stay and what the incoming team will actually receive. That makes competing management proposals easier to judge.

A recent host discussion captures the uncertainty: should an owner deactivate the old listing or ask guests to book again? Replies disagree. Your property's actual account and booking arrangements need to determine the route.

Find out what can change on your existing listing

Owning the home and being the Airbnb listing owner are different things. Airbnb describes the listing owner as the person who lists the space through their account. Start by asking whose account holds the listing and what access you currently have.

For home listings, Airbnb says that changing the eligible primary host updates the host shown to guests while leaving reservations unchanged. That is a specific change within an existing listing; it should not be treated as confirmation that a listing or its reservations can move between accounts. See Airbnb's primary-host explanation.

If the outgoing company holds the listing, ask it and Airbnb to clarify the available arrangements before agreeing to cancellation, deactivation or guest rebooking. Do the same separately for any other booking channels. A replacement management agreement alone does not answer these platform questions.

Give every upcoming stay a named handover point

A date in a contract is too vague for a guest who is already in the property. Imagine a Wednesday arrival and Sunday departure, with management changing on Friday. Who answers a Thursday night message? Who authorises a repair on Saturday? Who follows up after checkout?

Put that example in front of both managers. For each affected reservation, record the responsible contact before, during and after the change, along with the cleaning arrangement and any unresolved request. Keep sensitive guest information within appropriate authorised systems.

Also confirm who receives and reconciles the booking payment, who pays outstanding suppliers and how any later adjustment will be handled. Ask for a worked example against your own agreement rather than assuming that a new management fee replaces every old obligation immediately.

This creates a practical test: if the parties give different answers for the same stay, resolve the gap before changing access. Airbnb also makes clear that co-host permissions govern platform access; the parties still need to agree what work each person will perform.

Accept the property as it is today

The next manager needs a starting record that both sides can refer to. Take dated photographs of the rooms, record existing defects and identify repairs still awaiting approval or completion. A marketing photograph shows presentation; it cannot establish the condition on handover day.

For an apartment, include the building entrance, lift route, parking access and spare-fob arrangements in the private handover. Test these with the authorised person who will attend the property. An incoming cleaner having a front-door key is of limited use if they cannot reach that door.

In the bathroom, check the shower, drainage, taps and supplied items during the walkthrough. Record a problem as an open task with a responsible person, rather than allowing it to disappear into a general note that the property has been handed over.

Keep the stay consistent with what guests booked

Read the current listing alongside the first arriving guest's confirmed arrangements. Has a late checkout been agreed? Is a parking space included? Are particular amenities shown in the photographs? The team taking over needs to know which promises apply to that stay.

Small items deserve a place in the inventory too. Games, remotes, kitchen equipment and spare linen can be easy to overlook when attention is on accounts and keys. Decide what remains, what belongs to a supplier and what needs replacing before arrival.

Once responsibilities are settled, agree who sends any necessary introduction and updated contact information. Review scheduled messages so guests receive one coherent set of arrival instructions. Coordinate access changes around the confirmed stays and handover, with a check that the incoming team can perform its agreed duties.

Decide what a better arrangement should deliver

Before approaching another manager, finish this sentence: “I would feel this switch was worthwhile if…” Be specific. Perhaps you want fewer unresolved maintenance questions, a clearer explanation of pricing decisions or less time coordinating between people.

Use that answer to compare proposals. Ask how progress will be shown after the first few stays and which decisions still need your approval. Review the outgoing agreement's notice and exit arrangements, and the incoming scope, before committing to a start date. Your own terms matter more than a generic transition timetable.

Seednest's services include design and setup, professional photography, listing creation, pricing, guest communication, cleaning and maintenance support. An existing property may need only selected improvements to its presentation, while the management discussion focuses on the responsibility gaps you want to close. Our guide to what Airbnb management includes can help you compare the scope.

Bring your Melbourne suburb, property type, current listing link, upcoming booking dates and the issues you want resolved to a conversation with Seednest. Note which account holds the listing and any notice period you have identified. These details give the discussion a concrete starting point: what needs to happen for your property, your guests and your time before a switch can work.
